Most auto-attendant systems usually involve the caller being met by an automated voice offering a variety of options to press a specific number that will take them to an appropriate receiver.

For example: “Press 1 for sales, press 2 for property management…” and the robotic sounding system will put a caller through to the appropriate channel.

Voiteck take this standard operation to the next level through their use of voice recognition software.

This allows your phone system to be completely personalised, allowing your caller to have a completely human experience.

O’Callaghan explained to SA Real Estate News how the auto-attendant system works:

“Imagine calling an office and being able to tell the telephone system exactly what you want to do. A localised voice will say “Hi, you’re trying to speak to a sales agent, who would you like to speak to?” The caller then tells the phone system the agent’s name, before being acknowledged by the auto-attendant (which might say something like “Okay, I’m putting you through”), and then being transferred to the specific sales agent directly,” he said.

The auto-attendant’s voice can be set to yours, the receptionist’s or anyone within the agency, providing the caller with a personalised service that benefits them and you.

“From a caller’s perspective, it’s streamlining the process – reducing time and saving money because the caller is busy working on something.

“It also benefits an agent because the auto-attendant makes the process more efficient and friendly,” O’Callaghan said.

Voiteck understand the different needs of real estate agencies, and their auto-attendant system is also useful for property management.

“During hours, the auto-attendant directs callers to property management, but what’s really important is after hours,” O’Callaghan said.

Most real estate agencies only have an option to leave a message after hours or provide the caller with the number of an electrician, plumber or general tradesperson.

However, if a tenant requires someone immediately, Voiteck’s auto-attendant is perfect for the job.

“If I’m a tenant who has issues after hours, I can be transferred straight through to my after hours property manager.

“We know that after hours managers usually rotate, so this system can be programmed and updated. If someone goes on leave we change the number. If you want to be more sophisticated, you may set the auto-attendant to press 1 for an electrician, 2 for a plumber,” O’Callaghan explained.

The system allows agencies to record the call, so they can understand what the issue has been and also ensures your supplies are kept honest with the electrician and plumber.
